Overview:

Sr Administrative Coordinator

Location: Milwaukee, WI 

 

HGA, an award-winning interdisciplinary design firm, is seeking a full-time Senior Administrative Coordinator to join our Milwaukee, WI office. This hybrid role requires working in the office three days per week and remotely two days per week. 

 

In this highly visible role, you will serve as a trusted partner to senior leaders, providing advanced administrative, operational, and project coordination support that helps drive business success. You will manage complex priorities, coordinate cross-functional initiatives, and support department operations, ensuring teams remain organized, informed, and focused on key objectives. Through proactive problem-solving, sound judgment, and exceptional attention to detail, you will streamline processes, anticipate needs, and contribute to the successful execution of strategic priorities across the organization.

In this role you will:

 

Executive & Operational Support

 

  • Provide advanced administrative support to senior leaders, including complex calendar management, correspondence, meeting coordination, and preparation of reports, presentations, and business materials.
  • Manage highly sensitive and confidential information with discretion and sound judgment.
  • Coordinate travel arrangements, expense reporting, and logistics for leadership meetings, conferences, and business activities.

 

Coordination & Project Leadership

 

  • Coordinate complex meetings, events, conferences, and cross-functional initiatives involving multiple stakeholders, departments, or offices.
  • Support departmental planning, reporting, budgeting, staffing coordination, and operational activities.
  • Lead administrative projects and special assignments that improve team effectiveness and support business objectives.

 

Process Improvement & Administrative Leadership

  • Identify opportunities to improve administrative processes, workflows, and service delivery across departments.
  • Serve as a resource for administrative best practices, onboarding, and training of new administrative staff.
  • Foster collaboration across teams by building strong relationships and helping coordinate work across leaders, departments, and support functions.

 

You will need to have:

 

  • Associate's or bachelor’s degree in business administration or related field preferred.
  • Minimum 7–10 years of progressive administrative experience, preferably within a professional services environment.
  • Demonstrated experience supporting senior leaders, department leadership, or enterprise functions.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Adobe products preferred.
  • Strong organizational, project coordination, and operational planning skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage competing priorities, exercise independent judgment, and maintain confidentiality.
  • Strong relationship-building, problem-solving, and customer service skills.

 

Salary Information:

 

The pay range listed aligns to the geography of the office for which this position is posted. Actual compensation will be based upon work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA’s robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Salary Range: $31.82 - $35.68/hr depending on qualifications and experience.
