HGA is an award-winning architecture, engineering, and planning firm with a full-time opportunity for an experienced Contracts Administrator in our San Francisco, CA office. We’re seeking a detail-oriented, highly professional individual who thrives in a fast-paced environment and can work diplomatically with clients and partner firms on a daily basis.

 

As a Contracts Administrator, you will be responsible for managing contract activity that carries moderate to high risk for the firm. This role is critical to ensuring the efficiency and accuracy of our contracting processes, while supporting the smooth operations of our legal, financial, and project management teams. You will help ensure that all contractual matters are handled with the highest level of integrity and attention to detail.

In this role you will:

  1. collaborate with multiple internal project managers and legal staff to develop all contract and other legal materials and supporting documents;
  2. develop and draft contract documents including project descriptions, detailed scopes of service, and professional service fees;
  3. track and follow up on pending or outstanding action items as the result of negotiations and legal review;
  4. transmit and track contract documents submitted to HGA's clients and consultants from initiation through final execution; 
  5. work with project managers and clients to fully execute and/or amend contract documents; and
  6. performs other duties as assigned.

You will need to have:

  • Bachelor’s degree required; Paralegal Certificate or a minimum of 5 years of experience as a Contract Administrator
  • Prior experience in architecture, engineering, and/or construction industries
  • Knowledge of AIA contract software preferred
  • Excellent reading, writing, and mathematical skills
  • Demonstrated independent and critical thinking skills, with the ability to analyze and resolve issues with minimal guidance
  • Strong desire and ability to continuously expand knowledge and apply newly learned information effectively
  • High level of integrity and discretion in handling confidential or proprietary information
  • Exceptional organizational skills with strong attention to detail
  • Proven ability to prioritize and manage multiple tasks in a fast-paced, dynamic environment
  • Ability to work independently and meet deadlines with minimal supervision
  • Excellent interpersonal and professional communication skills
  • Proficiency with Adobe and MS Office Suite, specifically Word and Excel

Salary Information:

The pay range listed aligns to the geography of the office for which this position is posted. Actual compensation will be based upon work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA’s robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Salary Range: $68,500 - $86,600
