Overview:

HGA is an award-winning interdisciplinary firm with a strong commitment to collaborative design solutions. We are currently seeking an Office Service Specialist who can provide operations functions in one or all of the following areas: shipping and receiving product and supplies; sort, distribute, and handle incoming and outgoing packages, boxes, mail, FedEx, and UPS; operate postage machine; order all supplies for the Office Services office which supports the broader Minneapolis office; stock and inventory whole office for supplies including food and drink; light cleaning and organization of all floors; assist and/or manage catering orders; office cleaning including but not limited to fridge cleaning.

In this role you will:

  1. Ensure copiers are working properly including inspecting daily, adding paper as necessary, clearing jams, and contacting technical support
  2. Work with outside vendors and verify invoices
  3. Place orders and receive all office services supplies and maintain records for management reports and inventory supplies needed
  4. Distribute office supplies, mail, and packages to designated drop-off and pick-up locations throughout the day
  5. File accurately and timely
  6. Physically set up and clean up conference rooms
  7. Perform catering functions including ordering and delivering food and beverages
  8. Maintain inventory catering cupboard, beer, and wine
  9. Hours of work will vary due to business needs

You will need to have:

  • High School diploma or equivalent
  • Experience working in a customer service environment
  • Experience working in a shipping and receiving environment  
  • Ability to learn quickly  
  • Detail-oriented work ethic
  • Ability to work well under pressure, multi-task, problem solve and prioritize
  • Proficiency in Xcel, Microsoft Office suite and Windows  

Salary Information:

The pay range listed aligns to the geography of the office for which this position is posted. Actual compensation will be based upon work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA’s robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Salary Range: $19.90 - $24.38 per hour

Additional Information:

Physical Requirements:

  • Must be able to lift heavy items up to 75 lbs
  • Deliver project samples throughout the day to designated locations
  • Ability to walk up and down stairs multiple times throughout the day
  • Ability to stock floors with all office and kitchen supplies, including but not limited to drink cans in refrigerators
