    HGA is an award winning architectural, engineering and planning firm with a full-time opportunity in our Alexandria, Virginia office for an Administrative Services Manager. Working closely with the office leadership group, this role will ensure there is strong customer service-oriented, efficient and effective administrative services and front-desk support. This professional thrives in a fast-paced office and has a passion for providing exceptional service to internal and external customers on a daily basis.

    Responsibilities

    1. Maintain efficient and effective office services by organizing office operations and procedures; manage correspondence, filing systems, supply requisitions, copiers.
    2. Maintain daily communication with Office Director and/or other department leaders. Manage priorities and respond to project and internal and external client activities and changes.
    3. Provide administrative support to the office.
    4. Collaborate with other HGA offices to ensure appropriate sharing of information so that any process or product changes are communicated in a timely manner and schedules are adjusted as necessary. Assist with problem resolution or temporary support, as needed, in order to maintain an effective team environment.
    5. Keeps pace with administrative trends and needs while working to enhance day-to-day operations in response to those changes through training, coaching and implementation of new practices.
    6. Maintain ongoing communication with other administrative departments, as necessary, including Accounting, Marketing, Information Technology and Office Services, to ensure the smooth delivery of support services and the seamless exchange of information.
    7. Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing professional networks and participating in professional societies.

    Qualifications

    • Must have a minimum of 8 years of experience
    • Bachelor’s degree preferred
    • Must have experience in a professional services firm.
    • The essential, expert level of written and verbal communication skills, initiative, a strong decision-making ability, and acute attention to detail
    • The ability to lead, work independently, effectively communicate to diverse audiences, manage multiple deadlines, and constantly prioritize tasks
    • A high level of organization, flexibility and enjoy the multiple administrative challenges of supporting a fast-paced office
    • The ability to interact with staff and clients in a fast-paced, multi-task environment, while remaining flexible, proactive, resourceful and efficient
    • The ability to build relationships across the organization
    • Ability to meet multiple deadlines, with minimal oversight
    • Customer service-oriented experience, preferably in a professional service environment
