    HGA is an award winning architectural, engineering and planning firm with a part-time opportunity in our San Jose office for an Accounting Specialist working approximately 20 hours/weekThis person will provide support for the Accounting Division by ensuring on-time and accurate payment to vendors, provide billing and general accounts receivable support, accurate record keeping and timely reporting in accordance with the firm’s internal controls, principles and standards.

    Responsibilities

    1. Accurate and timely processing of vendor invoices. Assist with the monthly invoice process
      • Verification and calculation
      • Coding and entering
      • Assigns client/vendor numbers and coordinates with the marketing department as appropriate
      • Obtains appropriate approvals for payments of invoices received for items purchased without a purchase order. Monitor open purchase orders and resolve discrepancies
      • Monitors statements received from vendors to ensure that invoices have been received
      • Reconcile accounts to ensure their accuracy and that they are paid correctly
    2. Assists with monthly billing process and Accounts Receivable functions
      • Transfer hours and expenses to appropriate projects upon request
      • Edit billing information
      • Maintain accurate Purchase Order records
      • Contact Clients regarding past due invoices
    3. Receives, researches and resolves a variety of routine internal and external inquiries
      • Communicates account status
      • Resolves and communicates discrepancies to appropriate person
    4. Miscellaneous accounting and administrative work including items such as:
      • Organizing copies of reimbursable backup for client invoice
      • Provide project related record and reports as requested
      • Update project information in accounting data base (Deltek Vision)
    5. Help with ad hoc projects as needed
    6. Other duties or responsibilities as assigned

    Qualifications

    1. The right applicant will have the interest and ability to become well versed in our Accounting Software system, Deltek Vision, so that they would be able to assist with various reports and tasks in that software
    2.  Proficiency in Excel, experience with QuickBooks or similar business accounting software
    3. AA or B.S. degree in Accounting or related field; 2+ years accounting experience are preferred
    4. Strong written and verbal skills
    5. Architecture/engineering/construction firm experience a plus
    6. Deltek Vision software a plus
