    HGA is an award winning architectural, engineering and planning firm with a full-time opportunity in our Minneapolis office for an Administrative Assistant. This role supports practice group principals and department staff in a professional collaborative team environment. The ideal candidate will have strong writing and editing skills, ability to prioritize workflow and manage multiple projects and deadlines.

    Responsibilities

    HGA Administrative Assistants have wide ranging responsibilities which vary by the practice group they support. All Administrative Assistant positions include, but are not limited to, the following responsibilities:

    • Create, format, edit, finalize and distribute documents (minutes, letters, reports, etc.).
    • Schedule meetings and arrange for related technology and catering needs.
    • Arrange travel with corporate travel vendor.
    • Welcome and integrate new staff into the practice group.
    • Register staff for conferences and educational seminars as requested.
    • Arrange practice group internal retreats across offices.
    • Maintain confidentiality of sensitive information and assist with employee review processes.
    • Input staffing data for project planning; complete expense reports as requested.
    • Various project and non-project related activities / tasks as requested.

    Qualifications

    Preferred candidates will have:

    • Bachelor’s degree in English, Communications, Journalism, Education or related degree.
    • Minimum of 5 years administrative experience; experience in an architecture or engineering environment is a plus.
    • Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook. Proficiency in InDesign is desired.
    • Enthusiasm for learning new software as needed.
