    HGA is an award-winning architectural, engineering, and planning firm seeking a Senior Marketing & Graphics Coordinator. The successful candidate will work closely with the marketing, business development, and design teams to produce compelling proposals, presentations, and marketing collateral in support of HGA’s business development initiatives and overall strategic point of view.


    Led by the Director of Marketing in Minneapolis, HGA has a robust marketing department with a network of internal resources throughout the 11 office locations. In this role, the Senior Marketing & Graphics Coordinator will join the Marketing Manager and Marketing Coordinator in the 80-person Alexandria, VA studio, working closely with the Business Developers, Market Sector Leaders, Principals, and Project Managers on regional pursuits and recognition.


    Pursuits & Collateral Materials (85%)

    • Leads the internal development, review process, quality assurance, and timely delivery of compelling HGA-branded proposals, interviews presentations, and other marketing materials
    • Meets external deadlines by establishing and managing the internal process/schedule, identifying priorities and target dates for information gathering, production, reviews, and approval
    • Reviews Requests for Proposals (RFPs) for project-specific submission requirements
    • Communicates effectively with Business Developers and the project team throughout submission process
    • Works with Adobe InDesign templates and HGA’s image/content database to create tailored proposals and marketing materials, assuring clarity, consistency, and compliance for both graphic and written content
    • Collaborates with Marketing Coordinator to manage workload and production of marketing materials
    • Monitors and communicates progress of material submissions with Marketing Manager
    • Produces marketing collateral and any promotional items needed for other events, conferences, career fairs, etc (design boards, booklets, display banners, leave-behinds, etc)

     Design Awards & Industry Rankings (10%)

    • Manages and tracks the regional award program submissions requirements and deadlines
    • Coordinates with marketing team and project team to prepare and submit compelling submissions
    • Works with communications team to promote wins
    • Maintains regional and local surveys and directories for office
    • Coordinates with Marketing Administrator in Corporate Office to assist with anything needed for national award submissions

    Project Photography (5%)

    • Works with the project team to determine strategy for photography and develop a shot list
    • Coordinates the scheduling, execution, final selection, and internal distribution of project photography
    • As needed, provide on-site coordination during photography shoots


    • Bachelor’s degree in communications, English, journalism, marketing, graphics, mass media, or another related field
    • 6-8 years of related work experience in proposal and presentation development (RFQ/RFP processes), preferably within the architecture or engineering fields.
    • Highly skilled with Adobe InDesign
    • Proficient with Adobe Photoshop and Illustrator
    • Excellent copywriting/editing skills with keen attention to detail
    • Demonstrated graphic design abilities within a relevant context
    • Top-notch organizational, prioritization, problem-solving, multi-tasking, and decision-making skills
    • Ability to collaborate and communicate effectively in a multi-level team environment, while showing initiative and ownership of responsibilities
    • Ability to manage multiple competing priorities and remain cool under pressure, while maintaining a positive, proactive, goal-oriented and team-supportive attitude.
    • Understand and adhere to the firm’s general business requirements and core values (collaboration, innovation, excellence, communication, professionalism, and knowledge)
    • Knowledge of Deltek Vision a plus, but not required
