    HGA is an award winning architectural, engineering and planning firm with a full-time opportunity in our San Jose, CA, office for an experienced Contracts Administrator.  This professional thrives in a fast-paced office, and requires working diplomatically with our client and partner firms on a daily basis.  

     

    The Contracts Administrator is responsible for contract activity that is of moderate to high risk to HGA. The role facilitates the contracting system process and ensures all contracting issues are addressed and resolved in an efficient and accurate manner.  The role is critical to the smooth operation of the accounting and management team and it requires the utmost in professionalism, outstanding communication skills, and the ability to work well with others.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBLITIES:

    1. Works with multiple project managers and legal staff within the firm to develop all contract and other legal materials and supporting documents.
    2. Drafts contract documents which include project descriptions, detailed scopes of service, and professional service fees.
    3. Follows up on action items as the result of negotiations and legal review.
    4. Transmit and track contract documents submitted to our clients and consultants from initiation through final execution.
    5. Works with project managers and clients to fully execute and/or amend contract documents.
    6. Performs other duties as assigned.

     

     

     

     

     

    Qualifications

    Minimum requirements include:

    • Bachelor's degree or Paralegal Certificate or 5 years’ experience as a contract administrator
    • Excellent reading and writing skills
    • Independent, critical thinking skills including the ability to analyze and resolve problems with minimal guidance
    • Ability to continually grow knowledge base and skill set in order to synthesize and apply information learned
    • High level of integrity and discretion in handling confidential/proprietary information
    • Well organized and detail oriented
    • Prioritize and handle multiple tasks in a fast-paced, changing environment
    • Ability to work independently and meet deadlines with minimal management oversight
    • This position works with various departments and in-house counsel so excellent professional interpersonal skills

     

    Preferred candidates will have:

    • Experience in architecture, engineering or construction fields
    • Knowledge of AIA contract software
    • Strong math skills
